Definitions of Upvendo-specific terms and concepts.
A
Accept Orders Until
Setting that determines when to stop accepting orders. Options:
- Closing Time: Accept until location closes
- Closing Time Minus Prep Time: Stop early to allow kitchen to finish
Activity Log
Record of all changes made in the backoffice. Shows who changed what and when.
Allergens
Substances that can cause allergic reactions. EU requires disclosure of 14 allergens:
- Gluten, Crustaceans, Eggs, Fish, Peanuts, Soybeans, Milk, Nuts, Celery, Mustard, Sesame, Sulphites, Lupin, Molluscs
ASAP Order
Order for immediate preparation, as opposed to a scheduled order.
Attract Screen
The idle screen shown on a kiosk when no customer is using it. Typically shows branding and "Touch to Order" message.
B
Backoffice
The admin dashboard where merchants configure their restaurant settings, menus, and view reports.
Bancontact
Belgian payment method supported through Stripe.
Birthday Bonus
Loyalty reward given to customers on their birthday. Can be points, discount, or free item.
Blocked Period (Blocked Time)
A recurring weekly window during which online orders are not accepted — for example a daily kitchen rush. Each entry is a From/To time plus the weekdays it applies to. Affects both pickup and delivery.
Business Hours
The hours when a location is open for business. Can be different for each day of the week.

Capacity
See Order Capacity.
Cash on Delivery (COD)
A deferred payment method: the customer pays cash at pickup or delivery, so no payment is collected online and the order settles on the POS instead. It is not exposed in the production back office — the toggle only appears in test environments.
Category
A grouping of menu items (e.g., "Appetizers", "Main Courses", "Drinks").
Category Limit
Maximum number of items from a specific category that can be ordered per time slot.
Channel
A way customers can place orders:
- Online Ordering: Website
- Kiosk: Self-service terminal
- In-House/QR: Table ordering
Deliveroo and Uber Eats are production online channels: Uber Eats requires a connected POS (and is not offered to US merchants), and Deliveroo appears only when the platform's services.deliveroo.enabled flag is on.
Coupon
A code customers enter to receive a discount. Linked to an Offer.
Custom Availability
Using a different schedule for online ordering than the location's business hours.
Cut-off Time
An hour after which a given ordering day closes. Same-day cut-off stops same-day ordering; next-day cut-off stops next-day ordering. Takeout and Delivery each have their own pair.

Delivery Delay
Extra minutes added to prep time for delivery orders to account for delivery time.
Delivery Fee
Amount charged to customer for delivery. Can be:
- Free
- Fixed amount
- Free over a minimum order amount
Delivery Zone
Geographic area where delivery is available. Defined by:
- Radius (km from location)
- Postal codes
Device Profile
A reusable configuration template that devices (kiosks) pick up. Sections include Assigned Devices, Dining Options, Customer Flow and Customer Identification, Section Selection, Receipt Settings, Receiving Orders, Inventory Settings, Menus, Idle Settings, and Device Schedule. Managed under Device Management → Device Profiles.
Dietary Preferences
Information about food characteristics (Vegan, Gluten-free, Halal, etc.).
Display Group
A group of items inside a menu, created and reordered in the Menu Builder. Items are added to display groups; menus are built from them.
Domain Profile
A custom domain registered under Settings → Domains and verified by DNS (CNAME + TXT record). Once verified it can be assigned to a location's online-ordering page.
E
Eat In
A third online fulfilment option alongside Takeout and Delivery. Customers order ahead online and eat in at the restaurant at a chosen time. It has its own prep-time delay, follows the location's operating hours, and the order is recorded as dine-in / For Here so the POS gets the right category and VAT.
Emily
The merchant assistant integrated into the Upvendo backoffice. Emily helps merchants with questions about features, settings, and troubleshooting. For customers using online ordering or kiosk, Emily serves as an ordering assistant to help with menu questions and order placement.

Flexible Ordering
Order capacity feature that allows more orders if their total value is below a threshold. Useful for handling small orders without blocking larger ones.

Gift Card
Prepaid card customers can purchase and use for future orders.

Hendrickx
A POS system that can be integrated with Upvendo.
I
Idle Timeout
Time of inactivity before a kiosk or online ordering session resets. Releases reserved stock.
In-House
Orders placed and consumed at the restaurant (dine-in).
In-Person Provider
The provider that processes a Payment Profile's kiosk / card-reader payments: either Viva Wallet (a separate in-person account) or Stripe (Stripe Terminal — one Stripe account for online and in-person). Chosen when the Payment Profile is created and cannot be changed afterwards.
Invoice
A deferred payment method for business customers: the order is placed without paying online and is billed later from Invoice Collection. Available on Mplus locations only.
Invoice Collection
The page listing business customers with unpaid orders placed with the Invoice payment method. Sending an invoice combines all of that customer's open orders into one invoice, issued via Stripe and emailed to them.
Item
A product on the menu that customers can order.
Item prep time (prep_time_seconds)
A per-item preparation time stored on a menu item. It is currently not applied: a platform flag (ONLINE_ORDERING_INCLUDE_ITEM_PREP_TIME) keeps it out of every customer-facing quote, and it is off in production, staging and testing. Not to be confused with the location's Customer prep time (average_prep_time) — the Settings → Locations label; the Online Ordering page's read-only chip still calls it "Preparation time" — which is what every quote is actually built from.

KDS (Kitchen Display System)
Screen in the kitchen showing orders to prepare. Tickets are colour-coded:
- Grey: New / on time
- Orange: Caution (past the caution time)
- Red: Late (past the late time)
- Green: Completed
Caution and late thresholds are set per order type (for-here, to-go, pickup) in the KDS settings.
Kiosk
Self-service ordering terminal in the restaurant.
L
Lead Time
Number of days ahead an item must be ordered (0–365). Set per item, alongside the weekdays it can be picked up. Used for advance-order products such as cakes.
Live Mode
Payment setting that processes real charges. Opposite of Test Mode.
Location
A physical restaurant location. A merchant can have multiple locations.
Loyalty Program
System where customers earn points for purchases and redeem them for rewards.
M
Menu
Collection of categories and items. Can be assigned to locations and scheduled for specific times.
Minimum Order Amount
Lowest order value accepted. Often used for delivery orders.
Modifier
An addition or customization to an item (e.g., "Extra cheese", "No onions"). Has its own price.
Modifier Group
Collection of related modifiers (e.g., "Toppings", "Sauces"). Can be required or optional.

Offer
A promotion or discount. Types include:
- Percentage off
- Amount off
- Free item
- Buy X get Y
Online Ordering
Web-based ordering for pickup or delivery.
Order Capacity
System that limits how many orders can be placed per time slot to prevent kitchen overload.
Order Note
Special instructions from customer (e.g., "No nuts please", "Ring doorbell").

Pairing Code
Temporary code used to connect a device (Kiosk, KDS) to the backoffice.
Payment Profile
Holds a merchant's payment configuration: the Stripe connected account used for online ordering, plus one In-Person Provider (Viva Wallet or Stripe Terminal) chosen permanently when the profile is created. Assigned to locations. Square merchants do not use Payment Profiles — Square handles its own payments.
Pickup
Order type where customer collects their order from the restaurant.
Pickup Delay
Extra minutes added to prep time for pickup orders.
PLU
The unique code identifying a menu item. Required on every item; it can be auto-generated.
Points
Loyalty currency earned from purchases and redeemed for rewards.
Prep Time (Preparation Time)
Average minutes needed to prepare an order. Used for:
- Calculating ready time
- Determining when to print tickets
- Order capacity calculations
Printer
Receipt or kitchen printer connected to the system.
Q
QR Ordering
Table ordering where customers scan a QR code to order from their phone.
R
Radius
Delivery zone defined by distance (km) from the location.
Reporting Category
A category used to group items for reporting, managed under Menus → Reporting Categories. Hiding or marking a reporting category unavailable applies to every item under it, including its subcategories, on kiosk and online ordering.
Restricted Date
A date when the location is closed (holiday, special event).
Reward
Something customers can redeem with loyalty points. In an amount-based loyalty program a reward costs points needed; in a visit-based program it costs visits needed.

Scheduled Order
Order placed for a future time, not ASAP.
Snooze
Temporarily pausing a sales channel (Online Ordering or QR Ordering) from accepting orders. Options: 20, 40 or 60 minutes, the rest of the business day, or "Do not accept" (indefinite). Set from the channel's own page; requires the edit-online-ordering permission (the snooze-sales-channel constant is commented out of the permission group and gates nothing). It is not an item- or stock-level setting.
Square
POS system and payment provider. When connected, handles all payments.
Stock
Inventory count for an item. When 0, item shows as "Sold Out".
Stripe
Payment provider for online ordering (Card and Bancontact) and for the merchant's Upvendo subscription billing. Also available as the in-person provider via Stripe Terminal.
Stripe Terminal
Stripe's in-person card-reader product. One of the two In-Person Provider options on a Payment Profile; lets a merchant use a single Stripe account for both online and in-person payments.
T
Table Section
Grouping of tables (e.g., "Terrace", "Main Floor").
Tags
Quick labels for items (Vegan, Vegetarian, Gluten-free, etc.).
Tax Rate
Percentage added to item prices for tax (e.g., 21% VAT).
Team
Staff members with backoffice access. Have different roles and permissions.
Temporary Closure
A reopening date set on the Online Ordering page. While it is set, customers can still place orders, but only for dates on or after the reopening date. Clearing it reopens the location immediately.
Test Mode
Payment setting that simulates transactions without real charges. For testing only.
Time Slot
A window of time for order capacity calculations (e.g., 15-minute slots: 12:00-12:15, 12:15-12:30).
Time Specific Rule
Order capacity rule that applies only during certain hours (e.g., reduced capacity during lunch rush).
Tips
Optional gratuity customers can add to their order.
Transaction
A completed order with payment.
U
Uber Eats
Third-party delivery platform. It is a production online channel: uber_eats is in ONLINE_PRODUCTION_CHANNELS, and the backend offers it to merchants with a connected POS, excluding US merchants.
Upsell Group
A set of items suggested to the customer during ordering. Created under Marketing → Upsell Groups with a trigger (a specific item, a product group, or checkout) and a placement (checkout and/or in-flow). Upsell groups are per-location and show on both online ordering and kiosk.
V
Value Threshold
In flexible ordering, the order value below which extra orders are allowed.
Variant
A version of an item (e.g., Small/Medium/Large). Unlike modifiers, variants change the base item.
Variant Group
Collection of variant options (e.g., "Size" with Small, Medium, Large).
Viva Wallet
Payment provider for kiosk / in-store terminal payments. One of the two In-Person Provider options on a Payment Profile, and the platform's default in-person provider.
W
Webhook
Automated notification sent when something happens (e.g., order placed, payment received).
Welcome Bonus
Loyalty points given when a customer first signs up.
Z
Zone
See Delivery Zone.
